Tender and enquiry document breakdown

For one agreed package, turn requirements across documents and languages into source-linked enquiry and quotation materials. This supports project execution; it does not replace project discovery, sales-route research or professional sign-off.

From source files to a workable hand-off

Agree one equipment package and document scope. Document breakdown is not an unlimited assignment.

  1. 01

    Agree scope and documents

Confirm the action, recipient role, original files, amendment versions, package and delivery language. Explain the effect of missing controlling files first.

  2. 02

    Extract with source references

Keep original wording, file name, clause or page and structured values together. Preserve units, conditions and exceptions; do not turn recommendations into mandatory requirements.

  3. 03

    Prepare responses and responsibilities

Set fields, deviations and itemised pricing terms for equipment, site work or turnkey scope. List missing inputs, conflicts and clarification questions separately.

  4. 04

    Review and hand over

Separate the buyer-review copy from the supplier-response copy. Retain coverage limits and unresolved decisions; handle revisions within the agreed scope.

Choose the outputs your workflow needs

Already have a working format? Receive fields and evidence that fit it rather than being forced into a new template.

Supplier-response copy

Objective requirements, structured values, model and evidence fields, deviations and applicable supply scope. Add quantities, pricing, lead times and shipping data where agreed.

Buyer-review copy

Source locations, scope decisions, responsibilities, conflicts, missing inputs and editable clarification drafts. Internal timing and research notes stay out of the external copy.

Version and change record

Checked and unchecked files, version differences and affected requirements. Later amendments identify the rows that need another review.

Connect one requirement to the next action

Real historical clauses show the route from source wording to response fields and pre-enquiry review. Two verified, reusable public extracts are shown, not a claimed complete dossier breakdown.

The Supplier Alliance Member must identify Goods which are approved by the Water Regulatory Advisory Scheme (WRAS)
Technical attachment §7.4 · Lot 2 · Local rendered p. 8

Approval evidence, not just “Comply”

Tie the approval status to the offered product and evidence. A general compliance answer is not the same as model-level support.

Check more than technical parameters

Scope and quantities
Main equipment, accessories, options, spares and which supplier role should respond to each line.
Testing and delivery
Acceptance, inspection, lead times, shipping, site work and whether the documents allocate the relevant costs.
Authorisation and warranty
Required evidence, its scope, warranty start and service duties. No assumed equivalent or substitute approval.
Conflicts and missing inputs
Separate source requirements, AOR organisation, unresolved points and supplier answers. Do not fill gaps with invented conditions.

Before starting

What if the full dossier is not available?

Start with the public notice and lawful document-access route. A sufficiently supported question may receive a bounded partial output, not a claimed complete extraction. Restricted access is not evidence of no demand.

Does every project need document breakdown?

No. Discovery, sales preparation, a clause check and a package enquiry are different jobs. Complete only the part that helps the current action.

Can the sample be used on a current project?

No. RM6157 is an expired UK framework procurement. The example demonstrates organisation only; current work needs its own applicable files, amendments, products and professional review.

Does delivery remove the need for review?

No. Source links and original wording reduce duplicate searching and formatting. Authorised people still approve safety, design, legal and contractual matters.

How are timing, fees and document use agreed?

Confirm versions, package, rows, outputs and necessary review before pricing. Share only material you are entitled to share. Internal prices, client lists and full contracts are not required to start.

Bring a piece of work you are preparing

A public link or non-confidential excerpt is enough to start. Confirm the workable task and missing inputs, then agree the output, timing and fee.
